Report Automation Best Practices

Practical guidelines for structuring your Excel workbooks and reporting workflows to get the most out of automated report generation.

These practices help you produce consistent, professional output with less effort. They map directly onto how the Build tab works.

1

Separate Data from Presentation

Keep raw data on dedicated worksheets and create formatted 'report-ready' sheets that reference the source data. When source data updates, the formatted views update automatically, so you can just click Generate again without rebuilding a report definition each time.

2

Standardize Your Formatting Upfront

Invest time once in getting table borders, fonts, colors, and chart styles right. GoFixly preserves what it sees at the cell level, so the formatting you see in Excel is the formatting you get in the output. Consistent source formatting means consistent reports.

3

Design for Multiple Audiences

A single workbook can serve multiple report types. Create separate report definitions in the Build tab for different stakeholders, a detailed Word analysis and a summary PowerPoint deck, each with its own content selections, generated from the same source data.

4

Use Consistent Layout Patterns

Stick to clean, validated layout structures in your report-ready sheets. Avoid overly complex merged-cell arrangements or deeply nested layouts. GoFixly validates worksheets against 15 supported patterns and flags anything it can't parse in the Content list before you generate. Designing within these guidelines keeps that list clean.

5

Automate the Repetitive Parts

The manual copy-paste-format cycle is where the most time is wasted and the most errors are introduced. A saved report definition captures your content selections and settings once. Regenerating later is a single Generate click, not a rebuild.

6

Name Reports and Workbooks Clearly

Give each report definition in the Build tab a name that identifies its purpose (not just "Untitled Word Report"), and name workbooks with dates or version numbers. When you regenerate from updated data, you can trace any output back to its source.

7

Validate Before You Generate

Check the Content list before clicking Generate: confirm the right items are included, review the order within each worksheet group, and resolve any sheets flagged for an unsupported layout. A quick pass here prevents costly revisions after the file is already distributed.

8

Document Your Reporting Workflow

Note which worksheets, ranges, and charts feed which report definitions. Because a definition lives in the workbook itself, anyone on the team who opens it in GoFixly can regenerate the report, not just the person who originally built it.
